What is an RFX?

We say RFX rather than RFQ because the same flow serves all three: you describe what you need, and the request comes out in the form the situation calls for.

Do I need a procurement department to use Savingfy?

No. Savingfy works with a structured procurement department and without one: the workflow is the same, only the number of people changes. The guided assistant asks the questions a professional buyer would ask, so a complete, comparable request comes out either way, whether it is written by a category manager or by whoever handles purchasing alongside their other duties.

How is Savingfy different from an e-procurement suite or an ERP module?

An ERP module records a purchase you have already decided on. Savingfy works upstream, on the part that is still manual: writing the request, finding suppliers you don't already know, collecting offers that can actually be compared, and documenting why one supplier won. It complements an ERP rather than replacing it.

How does Savingfy find suppliers?

Savingfy searches the open web and Google Maps with real search grounding, prioritising the geography you set. It runs several query variations, then a second verification pass to confirm each candidate actually offers the service you need, and returns three to eight companies with address, website, email and phone. You can also search your own supplier database.

How does Savingfy compare offers from different suppliers?

Savingfy extracts the content of each offer, whatever format it arrives in, and lines the suppliers up in a comparison matrix. Every evaluation criterion gets a compliance score from 0 to 100 per supplier, weighted by importance: mandatory criteria count triple, important ones double, preferential ones once. The result is a ranking you can explain.

What are the AI agents in Savingfy, and what does each one do?

Savingfy has agents on both sides. For buyers: a description assistant, a requirement refiner, a category classifier, a criteria builder, supplier research, an engagement writer, a document extractor and a proposal evaluator. For suppliers: Procure-it, a proposal generator, a compliance self-check and a template verifier. A translator works across both.

Does the AI decide which supplier wins?

No. Savingfy scores, ranks and explains, but the award decision stays with you. Every AI output (the request text, the evaluation criteria, the supplier shortlist, the compliance scores) is presented for review and can be edited before it takes effect. The product states this explicitly wherever AI generates content.

Do my suppliers need an account to respond?

Not necessarily. A secure link is enough: it opens the request and the Procure-it chat with no registration at all, so the supplier reads what you are asking, puts questions to Procure-it and sends a response from there. A full account is the other route, for suppliers who work with you regularly: it adds a portal with all their open requests, a guided proposal wizard and a chat with your team. Which route applies is settled supplier by supplier, so nobody is pushed through a sign-up to quote once.

What is Procure-it?

Procure-it is the agent that answers your suppliers. It replies using your request, your evaluation criteria and the questions you have already answered, and it shows a confidence score with every answer. When it is not confident enough, it asks the supplier for permission to forward the question to you, and your answer then serves every other supplier.

Which AI models does Savingfy use?

Each task runs on the most cost-efficient model that does it well, rather than the most expensive one out of habit: that is how the cost reaching you stays low without giving up quality. Outputs are structured rather than free text, which is what lets results land in your data. We name the specific models and subprocessors in security questionnaires and due diligence.

Is Savingfy GDPR compliant?

Yes. Savingfy is built and operated by a European company under GDPR, with isolation between organizations enforced at database level, role-based access, and an audit trail of who did what on each request. Personal data in supplier records and communications stays within the organization that entered it.

Where is my data hosted?

Accepted Answer

In the European Union. Your organization is isolated at database level, access is role-based across five roles, and every request carries an audit trail. Your data is not used to train models, and the subprocessors we rely on are bound by the same confidentiality we owe you. We are working towards formal security certification, and in the meantime we answer security questionnaires in full and support due diligence before you commit.

Which languages does Savingfy support?

Savingfy works natively in English, Italian and German, not as a translation layer bolted on top. The interface, the AI-generated content and the supplier communications are produced directly in each user's own language. If your buyer works in German and your supplier in English, Savingfy shows each of them the same request in their own language, translated on the fly.

How long does it take to go live?

Hours, not weeks. Savingfy needs no ERP integration to start: you set up your company, pick a category taxonomy (UNSPSC, CPV or your own) and run a first real request. What would otherwise be a project in itself, building the evaluation criteria templates, is generated by the AI from your own documents. That is what keeps setup inside hours instead of turning it into a rollout.

How does Savingfy's commercial model work?

An annual base fee plus a cost per user. The base fee covers the platform, the per user part follows how many people actually work in it, and that is the whole shape of it. Setup costs sit outside that and depend on your scope: how many categories, users and suppliers you bring in changes the work involved, so we do not pretend it is always included. We do not publish figures here, because a number without your scope behind it would tell you nothing. You get one as soon as we know it.

What does a first engagement look like?

A pilot, if you take our recommendation. There is no fixed formula and we adapt to what each client needs, but the approach that works is a reduced scope at a reduced cost, on the functions that matter to you, so your team gets familiar with Savingfy on requests it has to run anyway. From there you extend: more functions, more users, as the value shows. It keeps the cost of getting it wrong small, which matters more than the speed of the rollout.

What has to be in place on your side before the first request?

Four things. An internal owner who follows the project and can decide on it. Clearance from your IT and security review, and we take part in that ourselves: the questionnaires come to us and we answer them. A category taxonomy, either a standard one (UNSPSC, CPV) or the one you already use internally. And your existing supplier list, so the first requests go to companies you already work with instead of to an empty database.

What does it take to get my suppliers on board?

We do not ask them to sign up. A supplier receives a secure link, opens your request and responds through it, with no account to create and no password to remember. That matters more than it sounds: a sourcing project stalls when suppliers will not follow you onto a new tool, and the ones you need most are often the least willing to register anywhere. Suppliers who deal with you often can still take a full account later, once it is worth it to them.
